Privacy Policy

Our approach: local-first

KennelKeeper is built local-first. Your kennel's master database (animals, pedigrees, health notes, finances, and buyer information) is stored on your own device by default and is not transmitted to us unless you choose a feature that requires it.

Information we process

• Account details: your email address and authentication data when you create an account.
• Cloud sync data (optional): if you turn on cloud sync (Breeder and Signature plans), your records are stored in Google Firebase so your devices can share them. Firebase encrypts them in transit and at rest on Google's servers. Sync is not end-to-end encrypted, so it is not sealed against the service itself.
• Public portal data (optional): only the listings and pedigrees you explicitly publish are made public.
• Payment data: handled by our payment processor; we do not store full card numbers.
• Documents you scan (optional): when you use the scanner, the page you photographed or uploaded is made smaller on your device and sent through our server to an AI provider to be read: Google Gemini on our account, or the provider whose key you added (Google, Anthropic or OpenAI). A copy is kept in your account's private storage with Google Firebase, linked to the record it made. The writing assistant sends only the text you ask it about. A file you attach as proof of a vaccination is kept in the same private storage. If you add your own AI key, it is kept on our server to make those requests, and it is never shown to you again.
• Messages you send us: anything you send through the contact form or the beta application on this site, by email, or with Send Feedback in the app. These are stored with our cloud provider (Google Firebase) so they can be answered and followed up, and a copy is emailed to our support inbox through our email delivery service (SMTP2GO). A message from this site is stored with the user-agent your browser reports (its name, version and operating system), which helps us work out what went wrong when you report a problem. Feedback from the app includes the technical details it shows you before you send it, such as the app version and how many animals are in your database, but none of your records. Replies go to the email address on your account.
• Beta applications: the details you submit (name, email, your kennel or farm, the species you breed, and what you tell us about your program) are used only to run the beta program.
• The Field Notes newsletter: if you sign up, we keep your email address, when you signed up, and where, as a record of your consent. The address is passed to MailerLite, which sends the newsletter on our behalf. MailerLite first emails you a link to confirm, and nothing else is sent until you click it. Every issue has an unsubscribe link.
• Anti-spam: the contact and beta forms use Google reCAPTCHA to tell people from bots. It loads when you first move your pointer over one of those forms or tap into it, not when you only read the site, and it sends Google information about your browser and how the form was used. Google's Privacy Policy and Terms of Service apply to it. The newsletter box does not use it. To stop one connection flooding the forms, our server also counts how many messages and sign-ups arrive each day from a hashed form of your IP address. The address itself is not stored.
• Usage analytics: we measure how this website and the app are used, in aggregate. See the section below.

How long we keep it

Messages, beta applications and app feedback are kept so we can answer them and follow up later. The newsletter record is kept while you are subscribed, and as a record of your consent after you leave. Account and cloud sync data are kept while you have an account. You can ask us to delete any of it at any time by emailing support@kennelkeeper.app, and we will.

Analytics

We measure use in two places, and neither of them sees your kennel records.

On this website. Cloudflare Web Analytics tells us how many people visit, which pages they read, and roughly where they arrive from. It sets no cookies and stores nothing in your browser, and it does not identify you or follow you to other sites. It receives the page address, the referring page, your browser and device type, and how quickly the page loaded.

In the app. KennelKeeper reports basic usage through Google Analytics for Firebase: that the app was opened, which screens are used, and the app version, device type, and operating system. This tells us which features earn their place and which builds are actually in the field. We log no custom events describing your data.

What analytics never receives. Your animals, pedigrees, health notes, finances, buyer information, and documents are not sent to either analytics service. They stay on your device as described above, and go to our cloud sync only if you turn it on. We use analytics to decide what to build next, not to advertise to you, and we have not enabled Google's advertising or cross-site remarketing features.

If you would rather not be counted at all, a content or tracker blocker stops the website measurement. Nothing on the site depends on analytics, so blocking it costs you no functionality. To stop the app's usage reporting, email us and we will tell you how for your platform.

What this website keeps in your browser

This website sets no cookies of its own. It keeps two preferences in your browser's local storage so pages look the way you left them: kkSpecies, whether you breed dogs, cats or horses, and kkTheme, Daylight or Evening. They never leave your browser, and clearing this site's data removes them.

What we do not do

We do not sell your data. We do not publish your private records. Your on-device database is never shared without an action you take (such as enabling sync, publishing a pedigree, or exporting a file).

Your choices

• Export your full database to open formats (CSV, JSON) at any time.
• Disable cloud sync to keep all records on-device.
• Unpublish anything you've shared to the public portal.
• Request deletion of your account and any cloud-stored data by contacting us.

Third-party services

We rely on a small number of service providers to operate the product: Google Firebase (accounts, cloud sync, and storing messages sent to us), Stripe (payments), Google reCAPTCHA (spam checks on the contact and beta forms), SMTP2GO (delivering our email), MailerLite (the newsletter), Google Analytics for Firebase (app usage), Cloudflare (which serves this website and measures its use), and the AI provider that reads a document or text you ask about (Google Gemini, or the provider of your own key). Each processes data only as needed to deliver its function.

Every page of this website also loads its typefaces from Adobe Fonts and its icons from Font Awesome, so your browser asks their servers for them. They receive that request, as any server does, and nothing about your records.
